REFERENCE SERVICES DIVISION CIRCULATION POLICY & PROCEDURES

Policy

As a general rule, Reference materials do not circulate. Exceptions normally can be made for faculty.

However, even for faculty, the following materials will circulate only under extraordinary circumstances (usually for special copying, classroom presentation, when there is no reasonable alternative, or when the Library will be closed for a weekend.)

  1. Current multi-volume encyclopedias
  2. Legal case reports and reference works servicing them
  3. Legal form books
  4. Tax reports and reference works servicing them
  5. Atlases
  6. Current directories
  7. Hard to replace or expensive items (if in doubt, consult subject bibliographer)
  8. Reference Desk items

Graduate students, staff and even undergraduates sometimes may have a legitimate need to check out a reference item. Exceptions can be made but rarely. No exceptions are to be made if the materials are in any of the above categories. In all cases, the librarian on duty gives permission. If there is doubt, the Division Head may be consulted.

ALWAYS CHECK TO SEE IF CIRCUIT OR LINK+ OWN (AND CIRCULATE) BEFORE CHECKING OUT OUR OWN REFERENCE MATERIALS.

Procedures

  1. Checking out
    1. Complete orange card (be sure to include the date charged and date due) and insert the date due slip into books with a paper clip.
    2. Write the date due on the date due slip and sign or initial it. (Note: the date due may vary according to circumstances but is usually no more than one day or a weekend.)
    3. Ask patron to go to Circulation Desk to have the book desensitized.
    4. Ask patron to return book directly to Reference Desk.
    5. File orange card in Reference Books check out file box in the bottom drawer of the Reference Desk.
  2. Returned book
    1. Locate orange card for the book
    2. Give orange card and returned book to Josie who will be responsible for having it resensitized and reshelved; If she is not here, place the book and card with a note indicating “book returned” on her chair.

Chicano Collection Pamphlets

Use the above procedures for checking pamphlets from the Chicano Collection. They circulate for one week.
