Announcements
Geology Theses (M. Lamont)
  • It is hard to track down the authors (copyright holders) of the geology theses
  • Univ. of Wyoming puts all theses online with a policy of removal upon request-is this an option for us?
  • We need to look at what permissions authors give when submitting thesis. University of Utah was sued by a student after posting a thesis without permission.
  • At SDSU authors retain copyright. Would posting without permission also be a FIRPA issue? FIRPA may not be an issue as copy is made publicly available in library.
  • Opt out option-students can't opt out of having thesis published, should they be able to opt out of electronic publishing? Maybe only in unusual circumstances.
Microsoft Surface
  • Tabletop computer interface may be a good way to display digital collections.
  • Perhaps Aztec parents would be a source of funding.
iBase Status (M. Lamont)
  • No news, project is stalled in the software installation process. Mark F will need to provide update.
Daily Aztec Update(M. Lamont)
  • 70,000 pages have been scanned, some look better than others.
  • Digital files being turned into PDF by issue after being retouched in Photoshop.
  • Luna does not work as host for PDF files. If iBase does not work CSU DSpace may be an option.
Hotel Del Experiment(M. Lamont)
  • Sample document set has been completed. 500 documents and 150 images digitized. 404 objects are currently online in Luna.
  • The digitized material is largely correspondence, fascinating historically, but not visually compelling.
  • Documents are done as color scans (B&W does not look good) at 500ppi. Reduced to 400ppi post production.
  • OCR does not work at all. Documents have all been typed by hand.
  • This project could continue based on this test batch of documents.
  • A decision needs to be reached about whether to continue to spend resources on this project in the current budget climate.
  • If project continues another selection of documents need to be identified as the collection is too large to do it all at once.
  • Going forward Daniel will need to be consulted about metadata standards.
  • Lisa will communicate with Special Collections to decide how to proceed.
SJSU a model for us?(M. Stover)
  • We should revisit this at a later date when we are prepared to plan for our own digital projects website.
Electronic Submission of Theses (M. Stover)
  • Library personnel need to meet with Janet Rogers and Montezuma Publishing, who create the PDFs, regarding how to proceed.
  • Library must communicate why the preservation microfiche copy is still necessary (digital is not archival).
  • Luna is not a good option for hosting. iBase is untested, but CSU Dspace could work.
  • CSU DSpace has issues in that it is hosted remotely and its hard to get custom configuration done.
  • There are questions regarding how to handle accompanying material (images, audio files, etc) - these could be attached to the item record in DSpace.
  • Library needs to decide whether we need 2 copies of the microfiche.

(1) Announcements/Status Reports/Volunteer for Minutes

Dan volunteered to take minutes
(a) Special Collections intern Amanda Lanthorne has completed an online exhibit of the Peabody Magic Lantern Collection in Pachyderm, with assistance from Keven. The exhibit can be viewed at http://scua.sdsu.edu/exhibits/0709/lanterns/index.shtml
(b) Jon Cawthorne received an email from Graduate/Research Affairs regarding digital submission of theses. They would like to begin digital submissions next year.

(2) iBase (Mark F. and Lisa)

A few technical issues have occurred during the installation process. However, installation is gradually moving forward. Lisa has access to the software and will be experimenting with it. All collections in Luna will eventually migrate to iBase.

(3) Daily Aztec (Lisa)

About ½ to ¾ of materials have arrived and are in good condition. A display system for the collection still needs to be determined, with iBase as a possible candidate.

(4) Intern project (Lisa)

A student assistant is finishing up work on the Hotel del Coronado project. Since the scans didn’t OCR well, content from the scans was transcribed by hand.

(5) Flickr (Lisa)

There was a discussion about using Flickr as a platform to display samples from our digital image collections. The Library of Congress is currently doing this. Most in the group agreed that this is a good idea.

(6) D-Space (Lisa)

The Chancellor’s Office has been slow to respond to our requests for assistance, particularly the mapping of data from the PAC catalog records to D-Space. In the future, we should consider alternatives to working with the Chancellor’s Office.

(7) Other

(a) Anne B. announced that 200 finding aids were recently added to the Online Archive of California, http://www.oac.cdlib.org/
(b) Dan reported that he and his student employees have completed cataloging/metadata work for the Local History Digital Resources Project (LHDRP) and the Library Photographs/Art 441 images. Additionally, metadata production for the University Archives collection is proceeding well and will continue into the 2009-2010 academic year.
(c) Keven reported that we are moving forward with LOCKSS.

(1) Announcements/Status Reports/ Volunteer for Minutes

No annoucements; Sara volunteered to take minutes.

(2) Digital Asset Management System Revisited (Lisa)

iBase price much lower than expected. Allows for an unlimited number of images. Lisa still unclear about servicible pdfs. Keven suggested we throw some pdfs up on the iBase web site to test; Lisa agreed to follow through. There was some discussion about the LUNA contract and the transition to iBase. Group agreed we should purchase the product.

(3) Daily Aztec update and procedures question (Lisa)

90 rolls of film went to Anacomp, a local company, to digitize. We should have by June 30. Lisa met with Daily Aztec staff to formalize a way to collect content on a daily basis. Agreed that the DA production assistant (a staff member) will send pdfs from previous week each Thursday. There will be a one week embargo before anyone can see the materials. Once the routine is established, Lisa would like this process turned over to someone else. Mark Stover suggested he contact Julie Su about assigning someone in Serials to assume the responsibility for this function since the DA is a serial.

(4) Content DM (Keven)

OCLC rep contected KJ on behalf of all CSU since Keven is on a CSU committee. Rep told Keven that all libraries with First Search Subscriptions (which we have) will get a chance to place 3,000 objects (10GB) on this Digital Content Managment Sofware to test. Discussion about whether or not we should try, and if so with what objects, since we have access to DSpace and are purchasing iBase. Discussion about placing SDSU catalogs on site. Keven will attend a training session. Further discussion about opening up portion of DSpace so that there's at least access to the catalogs. Lisa will follow through.

4/20/2009

(1) Announcements/ Status Reports/ Volunteer for Minutes-Sara

Special Collections has a ton of images that must be attached to metadata. We need to make them available internally right away. Two choices: (a) Insert bare bones metadata (identifier number only)—the manuscript name would be available or (b) Put the images in directories in chronological order, which would require someone to write program to alphabetize. Decided on (b).

(2) New Member of DISC (Michael L.)

(3) Digital Asset Management System Revistied (Lisa and Mark)

Lisa has worked with iBase in the past, and recommended it shortly after she started working at SDSU. The product was deemed too expensive at the time. LUNA was chosen—which is more image based. We may have some funds available to reconsider the iBase product again. Also considering Flickr, Iris, Street Print. Lisa will provide pros/cons sheet to committee.

(4) Institutional Repository Discussion (Keven)

Reported about CSU level activities. Mentioned we’ve (SDSU) not added to Scholar Works as of yet. Discussion about digitizing course catalogs and where to place. Referred to Keven, Anne and Mark F. to determine.

(5) San Diego Original Camera Footage (Revisited)

Should we create metadata for the footage? It’s now 5 years old and Anne thought the content not that unique. Decided not to take on as project.

(6) Purchase of 35 mm Film and Slide Scanner

The is a very good acquisition for us.

2/23/2009

(1) Announcements / Status Reports

The trade cards are now finished, and there is a splash page available for the photograph collection. There will soon be a "Digital Projects" page linked from Infodome.

Lisa announced that 15 out of 100 lantern slides were damaged when Northern Reprographics mailed them back to us. We discussed the appropriate compensation, along with insurance issues. Lisa will follow up with the CA State Library to see if we can get financial compensation instead of free scans.

Dan reported that the metadata has been completed for 600 records in Luna.

Lisa is working with Olive Software to digitize one roll (1969-71) of the Daily Aztec. She is also receiving regular PDFs from the staff of the Daily Aztec, and she tried (with success) putting one of these files into DSpace. Sara asked about accessibility issues. Lisa is going to meet with the Daily Aztec staff to build a stronger relationship with them as we seek new funding sources for digitization.

(2) New Digitization Tools in Special Collections (Anne B.)

Anne reported that Rob and Michael Lapins have been discussing the digitization of some analog (cassette and reel-to-reel) tapes from Dr. Mann. (We think that these are tapes of government hearings, etc.). Mark suggested that Rob, Michael, and Lisa meet to discuss further the ramifications of this kind of digitization project. Are there preservation issues? What about redundancy? On a similar note, Mark reported the offer to purchase 3 and one half hours of narrated video (both analog and digital) taken of the city of San Diego (including hotels, beaches, tourist attractions) about 5 years ago. Both Rob and Michael L. thought that the lack of indexing was problematic. Members of DISC will examine the sample file of this footage and make suggestions at our next meeting.

On a related note, Mark suggested that we invite Michael Lapins to join DISC due to his expertise and experience with audio-visual materials that might be digitized in the future. The group agreed that this might be a good idea. Mark will pursue this with Library Administration.

(3) Policies, Processes, and Procedures (from Task Force Recommendations)

(a) Develop criteria for the selection of born digital materials (materials that have never been available in analog formats)
Lisa pointed out that these recommendations from the original task force were based on a different concept of DISC than was subsequently implemented.
We discussed various types of "born digital" materials that the library might come into contact with. These include masters theses, oral histories, etc. For the most part, DISC is not concerned at the moment with born digital information that is found on the Internet or in subscription databases, due to the fact that this information is being archived and preserved by other entities. However, Keven suggested that we might want to look at the possibility of archiving university documents hosted at sdsu.edu, since some other universities are getting involved in this kind of digital archiving. (The Internet Archive tries to preserve as much as it can, but millions of documents do not get archived there for various reasons). LOCKSS might be one way to archive university documents. This discussion led to the observation from Anne B. that we do not have one official university archivist at SDSU. We do not have a records management program, and all three librarians currently working in Special Collections are trained archivists.
(b) Develop processes for the selection, acquisition and integration of digital collections
Lisa agreed to put some of her procedures related to digitization on the Wiki, for future reference. She also wondered if there were other ways to solicit suggestions from individuals outside DISC for digitization projects. Should we invite non-members to come to DISC to present their ideas? The Dean's Update might be one vehicle to communicate this to library staff. Mark also said that he would send notices to lfolks whenever the Wiki is updated with new minutes.


1/20/2009

(1) Volunteer for minutes

The committee ask for a volunteer to take minutes at future meetings. Since there were no immediate volunteers, the group decided to rotate the taking of the minutes starting with me. (Mark F.)

(2) New members of DISC

Sara Baird was introduced and will be taking the place of Wil Weston. In addition, Mark Figueroa will serve on the committee to provide additional support on an ad hoc basis.

(3) Digitization of Daily Aztec

Per the committee's recommendation, Lisa will have 1 roll of film digitized in order to provide a prototype of Olive's software. Lisa will decide on a year of significant interest (1969?). The committees hopes are to use this to help in finding outside funding for a complete digitization of the Daily Aztec.

(4) Revamping of DISC

The purpose of the group was discussed. Topics included the direction of projects, no ongoing funding for digitization and having limited financial backing of projects. My interpretation of the feelings expressed during this discussion is this, "Does this meeting need to exist in its present form since there is no true funding or budget for having materials digitized?" This discussion was concluded with the understanding that with continued financial problems we will need to press the importance of digitization and to make sure council is aware and involved. In addition, we need to make sure this stays a priority when discussing strategic planning.
